A customer presentation can look polished and still contain the wrong promise.
Sales has one delivery date. Operations has another. The last quality update is buried in an email. Someone uses last quarter’s capacity slide because it is the version they can find.
Asking AI to make the presentation faster does not resolve any of those conflicts. It can simply put them into a more convincing format.
The business objective is a shorter preparation cycle and a customer conversation built on information the company can stand behind.
Decide what the meeting needs to accomplish
Start with the account owner. Is the meeting intended to resolve a delivery problem, approve a corrective action, review performance, or agree on new business? That decision determines what belongs in the presentation.
For a manufacturer’s quarterly customer review, I would want a short list of agreed measures, open commitments, operating issues, and decisions needed from the customer. The account owner should ask operations and finance to validate the information before slide production begins.
Separate customer-safe material from internal commentary. A record may be available to an employee without being appropriate to share outside the company.
Build an approved source brief
Use Data Curation & Governance to identify the current source for each fact: the delivery report, quality record, commercial agreement, approved capacity statement, and relevant meeting notes. Include dates, definitions, and the person who can resolve a discrepancy.
Then use Workflow Optimization to establish the handoff. The account owner assembles the brief. Operations confirms delivery and capacity claims. Quality approves corrective-action language. Finance approves financial statements or proposed terms where needed.
One controlled brief is easier to review than a deck assembled from unrelated searches. If two sources disagree, leave the item unresolved until its owner settles it.
Check what your Copilot experience can actually access
Microsoft distinguishes Copilot experiences by license, application, and organizational settings. Its documentation describes broader work-data access with a Copilot add-on license and limits organizational references to information the user is permitted to access. Do not assume that seeing a Copilot button means it can search every mailbox, Teams conversation, or SharePoint site.
Have IT confirm the assigned license and supported capabilities in the actual account. Where cross-application retrieval is unavailable, use an approved source file the available experience supports. Do not expand access simply to make a presentation easier to build.
Microsoft also documents creating a PowerPoint slide from a referenced file and reviewing the result. The license and configuration check belongs before promising that workflow to the team.
Ask for a draft that exposes uncertainty
Once the source brief is approved, use AI Design & Implementation for a bounded drafting step. A useful instruction is:
Prepare a six-slide customer review from the approved source brief. Cover the meeting objective, agreed performance measures, open issues, corrective actions, decisions required, and next steps. For every factual claim, identify its source and date in speaker notes. Do not invent figures, delivery commitments, customer quotes, or explanations. Flag missing or conflicting information. Keep internal-only material out. Return the outline for approval before drafting the slides.
The account owner should compare every number and commitment with the sources, then review the deck with the people who supplied them. Treat a source reference as something to check, not proof that the claim is correct.
Use the next customer review to establish the standard
Within two weeks, have the account owner apply this process to one scheduled review. Measure preparation and revision time, factual corrections, and unresolved commitments. IT supports access; the business owns the message.
The benefit should be lower cycle time and risk exposure, with better visibility into customer commitments. Fund broader use only when those improvements justify the ongoing cost and the approval workflow can operate consistently.
The slides are the final output. The quality of the customer conversation is decided much earlier.
